Pomodoro technique is a very useful system for managing time inside a real estate sector and a very effective system for the daily tasks of the real estate members.

This is a technique for the good time management targeting the increase of the individual productivity. The whole level of productivity of the real estate will always be linked to the individual one.

Pomodoro technique for time management is a method developed by the Italian Francesco Cirillo at the end of the 80´s. In Italian, “pomodoro” means “tomato”.

The creator of this technique started to develop his method with the help of a kitchen clock with the design of a tomato. That figure gave the name of the technique.

This technique is based on the use of a clock in order to segment the working intervals to 25 minutes, which are called “pomodoros”. Those intervals of time assigned for a specific task are separated by 5 minutes breaks.

This is a key element for achieving the maximum level of efficiency on time management.

Moreover, the pauses between each interval of time are the main factor that help the development of a task and allow us to get a better level of mental agility of the person that works on the task.

Many authors and experts on time management underline the importance of the pauses when working on tasks. Those pauses decrease the level of anxiety of the person that works on the tasks.

If a member of the real estate team does not manage to achieve “the time aspect”, this will probably generate a certain level of anxiety and stress.

Anyway, both the anxiety and the stress reflected on the low levels because of not having breaks will damage the level of efficiency of each member and so, their levels of productivity will be negatively harmed.

Principles of the Pomodoro Technique inside a real estate.

The principles of Pomodoro Technique for time management can be divided into two groups: the stages and the basic steps.

The stages of Pomodoro Technique.
  • Annotation.
  • Register.
  • Process.
  • Visualization.

The planning stage represents prioritizing the order of the tasks (to do today). This is essential for a real estate member who needs to calculate the strength for each task.

Every planning strategy of a task inside the real estate sector requires to be noted down and registered in a legible way. When the “pomodoros” end, they need to be registered.

Registering the completed tasks and defining them into a time concept allows us to get the feeling of an accomplished task, a good factor in order to get higher levels of productivity.

In the same time, the registration of completed tasks and the time spent on them allows the real estate to create a linked data base. That data base eases the self-supervision of the realtor and it helps the real estate to value the obtained results in order to take the best conclusions.

Some elements that mess with the completion of a task are the interruptions which can be external or internal. They always condition the final results. It is important to register the possible interruptions and the consequence which made them.

By analysing the registers of the completed tasks, the interruptions can be isolated in order to evaluate them better. Then, we could easily determine if a person has fallen in the ¨time sink¨.

On the other hand, that type of analysis linked to the possible interruptions can show the fact that the responsible person has other problems such as no attention on the task, lacks of concentration, lacks of training or no qualification.

Steps of Pomodoro Technique.
  • Define the task to complete.
  • Start the “pomodoro” (chronometer).
  • Work on that task until the alarm starts.
  • Make a 5 minute break.
  • Four “pomodoros” make a break of 15 minutes.

Through the online tool of the Pomodoro (which is free and it can be used by any real estate member) those steps are easy to follow.

On the Pomodoro website we can find a very simple and intuitive interface, which is also effective for the time management. On this website, the users find a chronometer with huge numbers and some functions related directly to the steps mentioned above.

All tools, methods or systems are going to be submitted to different critics and opinions someday and Pomodoro technique is no exception of this.

The main argument on the contrary of this system is based on the argument that it might damage the working performance of the real estate members.

We might stop here and highlight the fact that the internal environment of a real estate counts with specific characteristics. Moreover, although the real estate member is part of the team, the main daily work is based on the individual work.

However, in order to avoid that the technique might convert into an element that might damage the real estate team, there is the possibility to use this system like “split pomodoros”.

Inside the real estate sector, “split pomodoros” will be two realtors centred on the same objective and target. That fact that two members could use the Pomodoro Technique simultanously, might represent an increase on the productivity, in the eyes of a real estate.

The “split pomodoros” manage to decrease the interruptions.

Anyway, a real estate finds important the implementing of effective time management systems which must be based on flexibility.

Flexibility linked to Pomodoro Technique brings some different models on implementing a tool. Let´s analyse two simple examples:

  • Set different times: 50 minutes for the tasks and 10minutes for the breaks.
  • Alternate the couples of “split pomodoros”.

The most important thing for a real estate is to increase its global level of productivity, but first, it needs to start from the individual productivity.

By implementing flexible models of experimenting, the real estate will manage to get better results according to its specific organizational and business necessities.

Apps and systems to use Pomodoro Technique.

The author of Pomodoro Technique started to apply this method from a poor technological approach, as he used only a kitchen clock, paper and a pen.

Since those years, the technology has progressed so much that nowadays there are Pomodoro applications for all the devices in the world (PC and Apple computers, smartphones, iPhones, tablets, etc.).

For those who will not use the online time management tool, there is a mobile app made for any kind of mobile device. There are payable Pomodoro applications that allow us to download the registered info of every task and so we could easily link it to the real estate data base.

When a real estate gets reports on the time management of each real estate member, it gets a global vision which allows it to adjust internal mechanisms to maximize its resources.

Let´s see a sketch of the main ways to implement this tool:

  • Through a web browser from any mobile device (via online).
  • Through the real estate´s intranet.
  • Linked to the real estate CRM.
  • Apple devices (apps via iTunes for iPhone, iPad and Mac).
  • Smartphones and devices with Windows (via Google Play).
  • By hosting the system on the real estate hosting.

There are different versions for the several devices. Those that are payable offer efficient functions, but the free versions always seem to be the best options for getting more experience.

In my professional opinion and based on my own experience, I do believe that the Apple version is the most convenient, mainly due to its functions.

Anyway and no matter what device we will use, I strongly recommend the Pomodoro Technique for any real estate in Spain.

After implementing the Pomodoro Technique for the good time management, the real estate can register the info and value if the system is good for its necessities or not.

In one way or another, a tool that brings an effective time management represents a increase on the organizational productivity and the real estate would only get the best results of it.
